AI agents for Gmail search and email context

Find relevant messages, understand what they say, and prepare response text in your agent conversation for review.

Connected actions

What your agent can do with Gmail

Connect ExemplaryAI to Gmail to list messages, search for relevant emails, and retrieve individual message details. An agent can use that context to summarize a request, identify missing information, or compose suggested response text in the agent conversation. This integration focuses on reading email; creating Gmail drafts and sending messages are outside the actions described here.

List messages

Find messages available to the connected Gmail account as a starting point for a focused task. A list alone is not the full content of each email.

Search relevant email

Narrow the request using email search criteria such as sender, subject, and date. Inspect the returned matches before concluding that an email is absent.

Read a message

Retrieve a selected message to understand its content. Use the retrieved details to distinguish a stated requirement from the agent's interpretation.

Where it helps

Put Gmail context to work

Prepare a supplier follow-up

Search for messages about a purchase request and read the relevant replies. Summarize the quoted information present in the email text and identify unanswered questions for the buyer.

Understand a customer request

Read selected customer messages and separate the reported problem, requested outcome, and missing evidence. Prepare suggested response text in the agent conversation for a person to review.

Review correspondence before a meeting

Find email about a named project and summarize commitments visible in the retrieved messages. Note the dates and who made each statement, rather than treating every suggestion as an agreement.

Worked example

Find what a supplier still needs to confirm

Illustrative example, not a recorded product run. A buyer has email text quoting a unit price but needs to clarify delivery timing before proceeding.

  1. Search using the supplier and purchase-order reference, with an explicit date range.

  2. Retrieve the relevant matched messages and compare the statements they contain.

  3. Prepare a summary and suggested response in the agent conversation, marking unresolved details.

Illustrative output

Confirmed in the example
The email text quotes a unit price and identifies PO-184.
Still missing
The supplied messages do not confirm a delivery date or whether freight is included.
Suggested response text
Please confirm the delivery date and whether the quoted price includes freight for PO-184.

Check the original messages and commercial details. The suggested response remains in the agent conversation; a person can edit and send it through their normal email process.

Connection setup

Connect Gmail to your agent

Start with a defined task, the account that should perform it, and the smallest set of actions it needs.

  1. Choose the account and task

Select the Gmail account and a specific reading task, such as reviewing correspondence about one request. Identify what information the agent needs.

  2. Review Google authorization

Enable the Gmail API and configure a Google OAuth web client with the deployment's callback URL and consent screen. Review authorization with your Workspace administrator, who may restrict application access.

  3. Define the email search

Provide relevant senders, subject terms, identifiers, and date boundaries. These task criteria guide retrieval; they do not change the account's underlying OAuth permissions.

  4. Check a small set of messages

Compare retrieved details with Gmail and review the summary. Expand the request only after confirming that the relevant messages are being found and interpreted correctly.

Access & deployment

Set the connection boundary

Connected account
The authorized Gmail account and its granted permissions determine the messages accessible to the integration.
OAuth scope
The default connection requests reading, sending, and composing permissions. For these reading tasks, review a narrower gmail.readonly grant. Google classifies mailbox read access as restricted, with applicable authorization requirements.
Organization policy
Workspace application controls can affect authorization. Confirm the allowed account and data scope with your administrator.

Read email, prepare text

The reading actions described on this page do not create Gmail drafts, send messages, or change labels. Suggested responses remain text in the agent conversation.

Work from retrieved messages

Do not assume attachment extraction, complete thread retrieval, continuous mailbox synchronization, or shared-mailbox support. If necessary evidence is absent, ask for it rather than filling the gap.

Google remains a cloud dependency

Gmail API calls require permitted internet access. Hosting the agent privately does not make a live Gmail connection available inside a strict air gap.

Gmail integration questions

Can this Gmail AI integration send email?
No sending action is included in this integration's verified scope. It can help prepare response text for you to review and use in Gmail.
Will the suggested reply appear in Gmail drafts?
No. The suggested text is produced in the agent conversation. Creating a Gmail draft is a different action and is not established here.
Can it read an attached invoice?
Attachment retrieval and processing are not established by these message actions. Provide the relevant document through a separately verified document-processing route when needed.
Will every email search find all matches?
Check the query, date range, and returned results. Google's API search has differences from the Gmail interface, so an empty result is not proof that no relevant message exists.
